DESKRIPSI PEKERJAAN
1.Operational Excellence:
Oversee office logistics, including maintenance, space planning, and storage.
Address emergencies and urgent issues promptly.
Optimize administrative and facilities processes for efficiency.
2.Team Leadership & Coordination:
Guide support staff to maintain high service standards.
Coordinate workspace management and office renovations.
3.Financial & Resource Management:
Track office expenditures and manage budgets.
Maintain and manage office supplies and procurement processes.
4.Supplier & Contract Management:
Build and manage relationships with suppliers.
Ensure contracts and documentation are current and accurate.
Monitoring vendor registration i.e.. create PR etc.
5.IT & Facilities Integration:
Oversee IT systems and equipment management.
Manage seating arrangements and workspace setups.
6.Safety & Compliance:
Conduct safety checks and manage fire hazards.
Implement and adhere to office management SOPs.
7.Administrative Support:
Resolve administrative and equipment issues.
Support other tasks as assigned and manage IT service tickets.
Review employee travel expense and claim reimbursement
8.Travel Booker:
Working closely with stakeholder for their travel arrangement, ie ticket booking, accommodation etc.
Verifying invoices from vendor for payment purposes
REQUIREMENT
Relevant Degree/Diploma in Administration or Facilities Management.
Strong organizational and multitasking skills with attention to detail.
Excellent communication and problem-solving abilities.
Experience with budget management, contract negotiation, and supplier relations.
Familiarity with IT systems and office technology.
Knowledge of safety regulations and procedures.
Proficient in Microsoft Office
