DESKRIPSI PEKERJAAN

Document & Process Management Organize and archive project documents, including contracts, quotations, BOQ, technical specifications, acceptance forms, change orders, and related project documents. Assist in preparing tender documents, purchasing requests, and purchase orders. Maintain project tracking documents, including supplier lists, quotation comparison tables, payment progress, and material delivery records. Prepare meeting minutes and follow up on action items with related parties. Handle invoice filing, reimbursement documents, and cross-departmental administrative coordination. Procurement Support Assist in supplier screening and information collection, including supplier qualifications, samples, and quotations. Follow up on RFQ feedback, quotations, and sample submissions. Track material delivery schedules and coordinate arrivals through phone, email, and WhatsApp. Maintain and update the supplier database. Engineering & Project Coordination Coordinate appointments and document exchange between suppliers, contractors, and internal teams. Receive, organize, and follow up on project progress and issue lists submitted by Project Managers. Assist in preparing acceptance documentation, including material entry forms and quality records. Support the Business Development team in conducting site surveys for potential projects. Assist in evaluating project feasibility from an engineering perspective, including building structure, MEP, fire protection, space utilization, and renovation difficulty. Support the preparation of preliminary project survey and feasibility reports. Prepare basic CAD layout drawings, room type layouts, and renovation scheme diagrams based on site conditions. Assist in preliminary estimation of renovation quantities and key cost items. Support project coordination, on-site follow-up, and quality acceptance after project establishment. Administration & Translation Translate routine documents and emails between Indonesian and English. Support business email drafting, document preparation, and internal coordination.
REQUIREMENT

Minimum Diploma or Bachelor’s Degree in Civil Engineering, Architecture, Electromechanical Engineering, Interior Design, Engineering Management, Hospitality Management, Business Administration, Supply Chain, or related fields. Minimum 1–2 years of experience as Project Coordinator, Engineering Admin, Procurement Admin, Procurement Support, or related project support roles. Candidates with at least 2 years of on-site project experience in construction, engineering, hotel, commercial space, or renovation projects will be preferred. Fresh graduates with strong potential and relevant educational background may also be considered for assistant-level responsibilities. Able to use AutoCAD to prepare floor plans and basic layout drawings. Proficient in Microsoft Office, especially Excel, including VLOOKUP and Pivot Table. Able to use Word, PowerPoint, email, and WhatsApp for daily coordination. Native Indonesian speaker. Intermediate English proficiency is required, especially for drafting business emails and reading technical documents or drawings. Basic Mandarin communication skill will be a plus, but not mandatory. Must have a valid driver’s license. Detail-oriented, responsible, proactive, well-organized, and able to handle multiple tasks. Good filing and documentation habits. Able to work under pressure and coordinate across departments. Willing to travel for business trips and follow project schedules when required. Stable working attitude and willing to grow with the company in the long term. Experience in hotel, commercial space, construction, engineering, or project-related industries. Experience in hotel or commercial space renovation projects. Experience in Party A project management or hotel project development will be an advantage. Familiarity with building structure, MEP, fire protection, space planning, and renovation feasibility review. Ability to prepare project survey or feasibility reports will be an advantage. Understanding of quantity estimation and key renovation cost items will be a plus. Mandarin communication skill is highly valued.
