DESKRIPSI PEKERJAAN

Senior Finance Manager Function Purpose Maximize operational efficiency and execution across the CEO's businesses and personal investments. Own project tracking, financial reporting, and operational processes to free the CEO's time for strategic decision-making. Systematize tasks, ensure deadlines are met, maintain order across all operational functions. Executive Operations Support Services (CEO Office) (Provided to EzLicence & CSB) Project & Initiative Management Track and coordinate key projects (e.g., asset sales/purchases, storage management). Maintain project plans in Asana, update task statuses, and send reminders. Prepare execution status updates for the CEO and EA regularly. Financial Operations & Reporting Weekly bookkeeping; monthly sales and income reports. Portfolio reporting templates implementation. Follow-up of asset performance updates. Manage accounts payable/receivable; reconcile transactions in Xero. Compile monthly financial statements and highlight variances. Month-End Close & Compliance Close monthly accounts, reconcile outstanding transactions, confirm manual journals. Confirm bank balances; finalize reports; summarize month-end insights. Ensure compliance deadlines (tax, registrations, renewals) are met. External Advisor Coordination Project manage responsibilities for lawyers, accountants, and wealth advisers. Provide required information, schedule meetings, and track deliverables. Operational Administration & Documentation Ensure meeting documentation is prepared by direct reports. Create weekly/fortnightly "presidential summaries." Maintain SOPs, documents, contracts, and regulatory filings in shared systems. Handle tactical admin tasks (research, drafting, cross-team coordination). Success Measurement Project milestones delivered on time. Monthly financial reports completed by the 5th business day. Zero compliance misses. CEO and EA experience reduced operational workload. Advisory Business Support Services (The Founder Playbook)Invoicing & Revenue Tracking Manage invoicing for consulting services using Xero. Track revenue and consulting hours. Maintain records for recurring and one-off billing. Event & Content Coordination Support logistics for webinars, workshops, sessions, and content initiatives. Prepare materials, invitations, and follow-ups. Operations & Policy Support Maintain internal playbooks and SOPs. Manage proposal documents and engagement templates. Ensure operational tools and systems are up to date. Primary Tasks Prepare proposals and engagement admin. Issue invoices and follow up on overdue payments. Assist with newsletters, articles, or announcements. Maintain client records and contract files. Success Indicators 100% onboarding tasks completed within one week. 100% on-time invoicing. Payments collected within agreed terms. Family Office Support Services (Pearce Family Portfolio)Financial Oversight Track personal and investment account transactions. Prepare monthly financial and net worth reports. Bill Management & Reconciliation Ensure timely payment of personal bills, utilities, subscriptions. Reconcile receipts for tax and compliance. Advisor Coordination Liaise with financial planners, tax accountants, and attorneys. Prepare documents and schedule review meetings. Documentation & Records Management Manage secure filing systems (digital/physical). Update asset lists, insurance inventories, and key documents. Logistics & Event Planning Support personal travel, appointments, and household logistics. Coordinate with cleaners, maintenance, gardeners, pool staff, car services. Confidential Task Management Manage sensitive paperwork, purchases, reservations, and filings. Success Measures Zero missed compliance deadlines. Monthly reports by the 10th. 90%+ satisfaction rating from the executive. REQUIREMENT

Minimum of 5 years of experience Highly organized, proactive, and independent High level of confidentiality and trustworthiness Strong analytical and problem-solving ability Able to manage multiple priorities with accuracy Comfortable working across business and personal matters Strong communicator, reliable, and detail-oriented Easy-going, open team with room for career growth Experience Requirements Operations, finance, and executive support in a multi-entity business environment Experience with professional services, tech, consulting, or finance (advantageous) Crucial: exposure to bookkeeping, reporting, compliance, and project management Strong experience in finance, bookkeeping, and operations Experience with Xero Experience with project management tools such as Asana High-level administrative and coordination experience Excellent English communication Experience supporting CEOs or executives Experience managing personal or family office financial administration Exposure to a consulting or advisory business Experience preparing financial reports, budgets, or compliance calendars Tools & Platforms Xero Google Workspace Asana Project management and documentation systems HubSpot CRM Confluence Zoom or Google Meet Task management and reporting tools ChatGPT for drafting and administrative support
