DESKRIPSI PEKERJAAN
To answer and screening telephone calls, and responding to emails, messages, and other correspondence.
To provide full secretarial support to President Director such as arrangement and co-ordination of internal and external meeting, conferences, scheduling.
To arrange hotel reservation, flight ticket, prepare the extension visa, passport, resident permit, work permit for President Director.
To assist with task that assigned by President Director.
To handle secretarial work such as: answering and transferring telephones, take messages, managing emails and letters, maintaining office records, filing and reference.
To routinely update to the Management for Hotel Corporate Rate.
To take and type and distribute Minutes of Meetings.
To provide translation and interpretation services.
To perform other related duties as assigned by President Director.
To monitor the shipments of President Director Personal Packages from overseas and to report daily to the Management in regards of the package's shipment status.
To be able to Develop and Maintain proper filling arrangement for Management Files.
To Copy and Print out Documents for President Director, for Managements and for personal file as well.
To be able to operate Office Equipements such as Copy Machine and Scanner Machine.
To perform accurate research and analysis.
To greet and welcomed Visitors / Guests for President Director.
To Coordinate arrangements, meetings, and/or conferences as assigned.
To take dictation and writing correspondence.
To Compile, proofreading, and revising drafts of documents and reports.
To prepare reports, presentations, and correspondence accurately and swiftly.
To create and organizing information and generating reference tools for easy use.
To ensure efficient and effective administrative information and assistance.
To provide assistance with administrative processes associated with the department or function.
To develop and compile data and reports including charts, tables, graphs, and presentations relative to the operations and business objectives.
To compose correspondence, memos, and other related documents.
To manage administrative matters including but not limited to handling correspondence, issue resolution, calendar and schedule maintenance, travel arrangements, and recording/publishing meeting minutes.
To prepare and reconcile travel expense reports for Executive and management.
To deal with General Affair Issues, Personnel Issues and Administrative works.
REQUIREMENT
Bachelor's degree in any discipline
Age 22 - 26 years old
Minimal 1 - 2 years of working experience in related field is required for this position
Preferably candidates should specialize in handling CEOs (Management Level) and Personal Assistants or equivalent roles
Excellent verbal as well as written communication in English to facilitate smooth interaction
Mature and independent professional who can interact effectively with all levels of staff
Strong interpersonal skills with demonstrated ability to operate effectively within team structure
Excellent time management and organization skills especially the ability to prioritize and multitask
Effective and professional communication abilities, including emails, memos, letters, and other business-related reports, documents and correspondences
Thorough understanding of clerical and secretarial principles
Proficiency in Office Application (Word, Excel and PowerPoint for presentation) to be able to generate Letters / Reports and Presentations
Good health
Able to work under pressure
Ability to plan, multi-task and manage time effectively
