Office Reception, Security and Telecommunications system
Serves visitors by greeting, welcoming, and directing them in a polite and professional manner; notifies company personnel of visitor arrival; maintains security and telecommunications system.
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Maintains security by following procedures; monitoring logbook; issuing visitor badges.
Maintains telecommunication system by following manufacturer's instructions for console operation.
Maintains safe and clean reception area.
Ensure safety moments are conveyed to all staff, visitors, guests at all times
Monitor good front-line security controls
Arrange all security badges control in Lenel System
Ensure LYB badges for staff / contractors / visitors are well updated in Lenel System as well as in Record Book
Support in printing Lenel badges for all staff in Hong Kong and other Asia locations
Office Administration
Support as back up for Executive Assistant when away from office
Provide support on all administrative and secretarial roles
Provide support on creating PR for Administration Department's services and goods purchased
Provide support for stand-in tea lady on all meetings' refreshment facilitation
Support on all ad hoc Office Maintenance Project
Maintain an updated information list of all employee, vendors, hotels, management office, couriers and other service providers at front desk
Coordinate with CMDS on Collection and Shredding Service for confidential paper in office when needed
Arrange office repairs / maintenance when necessary
Handle request for office plants / flower arrangement for Lunar New Year
Arrange annual check / installation (upon expiry) of all fire extinguishers in office
Office Administration (cont'd)
Coordinate with building management on :
Periodic inspection and testing of fire services and public address systems in the office
Annual AHU room maintenance
Any other ad hoc maintenance
Monitor cleaning services which includes:
Daily / monthly office cleaning service
Carpet cleaning / Pest control on quarterly basis
Daily rest rooms cleaning service supervision
Update office phone list for Asia Pacific
Holiday notice distribution when necessary
Prepare staff access cards and office name plates for new employees
Verify invoices for approval and pass to Finance Department for payment
Prepare meeting rooms, sorting and distributing mail, and making travel plans
Monitor local and overseas courier services (Morning Express, DHL, Fedex, SF Express)
Order express envelopes / packing material and pre-print waybill (if available) for Customs Service Department
Negotiate with courier Sales for shipment quotes which required 3rd party payment as requested by ADTS / other Departments
Arrange courier of document / plastic samples to colleagues / customers per request from Sales Team
Prepare proforma invoice for sample shipment
LYB Annual Event
Provide support on Global Care Day and Global Safety Day activities
Hotel Corporate Program
Communicate with Procurement on annual Hotel Program Solicitation
Support and coordinate with Asia Team for submission of Hotel RFP on time
Support on getting the best hotel rates for overseas colleagues to save company cost and meet with customers’ budget
Support on Different Department’s Conference / Meetings in Hong Kong Office
Negotiate with hotels for the best group booking room rates and meeting package rates
Help with group lunch / dinner arrangement when necessary
Make travel and hotel arrangements for colleagues when needed
Support on Asia Legal fast track contract review
Prepare Self Declaration Form for Contract Clearance
REQUIREMENT
Education:
High school or HKDSE in any disciplines
Skills:
Good knowledge of MS Office software
Work Experience:
2-3 years’ experience in receptionist, secretarial and office administration duties.
Languages:
Fluent in written and spoken English and Chinese, Mandarin is a must.
