DESKRIPSI PEKERJAAN

Arrange all meeting room bookings and make sure the availabilities are up to date Greeting clients and candidates with professional manner, escort them into meeting rooms and offer beverages if needed Invite all candidates to fill in the application and consent forms on iPad and inform relevant consultants once they have completed the form Upload the completed consent forms onto the recruitment system Monitor and maintain the stock of stationary, beverages, pantry and cleaning supplies and order them when necessary Order decorations, flowers or plants for Reception area when required Arrange gifts and card to be sent to placed candidates on their start dates when needed Ensure the office, meeting rooms and washrooms clean and tidy at all times Liaise with internal and external parties for office maintenance & facility management Monitor all voicemails and text-mails on phones of reception and all meetings rooms Answer incoming calls, answer enquiries and transfer calls to relevant person accurately Record potential clients'' information in details and pass it to the managers / consultants to handle Arrange all local and overseas mails and couriers Distribute all incoming mails, fax and emails to recipients Monitor all incoming enquiries or resumes and forward to the responsible team Assist to arrange, setup and clean up for internal office events when needed Administration Responsibilities Perform data entry and ensure accuracy in all documents Upload the candidates consent form onto the recruitment system Format candidates'' CVs for recruitment consultants Add new business leads on system and send weekly leads report to relevant teams Add contacts, companies or candidates onto system Order and prepare marketing material for relevant teams Act as backup when Office Assistance is out of office and assist Regional Operations Manager when needed Carry out any other ad-hoc duty, this may reasonably be requested by Regional Operations Manager
REQUIREMENT

Diploma or above Minimum 2 years of working experience as Receptionist, Administrators or related positions Ability to multitask with good time management skills Able to work independently with limited supervision in a fast-paced environment Well-developedinterpersonal skill Proactive, multi-task and attention to details Good communications skills in English and Chinese Good PC skills in MS Word, Excel and PowerPoint
